What process requires manual intervention? SFTP Process – getting the XML files to D2L
The Holding Tank will run at a scheduled time during the
late night hours. The imported files are
moved to an automated process. Process
occurs one time per day (unless needed more and that will go through Sylvie B
–account manager).
Can map courses using the Course Mappings area – manually.
Two major
things CMI does:
- Map
sections together (take 5 sections and group together and move as a single
course offering to D2L)… and unmap sections if necessary
- Search
functions – finding out specific information
Folders in
Course Mappings area:
- User
Search
– searches users in the Holding Tank
- Unmapped
Listings – course listings in the Holding Tank not yet mapped to the
LE course offerings
- All
Listings – course listings in the Holding Tank already mapped in the
LE
- Departments – as
course offerings are created this folder will appear if there is a course
offering in that department
- Semesters – as
course offerings are created the semester folders will appear if there are
course offerings in that semester
- Course
Mappings – A tree view of all course mappings in the Holding Tank
- Course
Templates – container – a part of the org structure that allows a
course to be identified with a department
- Administrative
Functions – Manual options –

Days to keep in log – keep at 7

End semester batch – DANGEROUS!!! – purges the Holding Tank
for the entire semester. You shrink the
database (doesn’t matter). It allows you
to remove everything from previous semester to purge old info from previous
semester. HT no longer controls any of
the previous courses or enrollments.
This does not delete anything from the LE, only from the HT. Anything you need to update in previous
semesters you will have to do manually, not through the HT.

of WHEN to run “End Semester Batch”:

Jan. 2 – Spring semester begins, Dec. 15 – Fall semester
ends –Run end semester batch on Dec 16 early AM (5-10 min), begin running next
semester batch that afternoon.

To take a
Course Listing and create a Course Offering:
- Choose
the course from the Listing Search Results area.
- Select
Add button
- To
remove listings – select the course and choose Clear Listings button
- Make
Grouping – select the course
- Type
in GroupName
- Choose
Semester
- Select
dates of semester
- Enter
Course Template Name – doesn’t matter in this view – it does matter in
XML file
- Enter
Course Template Code – doesn’t matter in this view – it does matter in XML
file
- Select
Department
- Select
isActive if you want to course to be created active
- Enter
Course Offering Name
- Enter
Course Offering Code (keep the same)
- Click
Make Offering button
- You
will see the Create Course Offering Summary page, check information and
select Make Offering button or go Back to update any mistakes.
Map a
course listing to an already created D2L course offering:
First, you must unmap the course offering that was created by the Holding Tank before you can map the course listing to a course already created in D2L.
- Look in Course
Mappings folder - Dept - Semester to find course
- Select course
offering by expanding the folder
- Right-click on
course you do not want cross-listed and choose Remove
course
NOTE: if using Firefox you will have to right-click and then hold the right mouse button down while selecting the option.
- Are you sure – message
box – OK
- Course is immediately removed
- Course goes back to
Unmapped Listing
Once you have unmapped the courses that should be assigned to current D2L courses (ones created prior to the Holding Tank feed) you can then go through the Unmapped Listing area and begin assigning them to the correct courses using the following steps.
- Choose
the course from the Listing Search Results area.
- Select
Add button
- Make
Grouping – select the course
- Click
on Assign D2L Course
- Search
for course
- Select
course title (Course Offering Code will update to correct code)
- Select
Make Offering button
Cross-listing
multiple sections into one course:
- Search
for listing
- Select
courses – Add button
- Select
Make Offering button
- Give
Template Name/Code and Course Offering Name/Code
- Set
dates, dept, isActive, semester
- Create
new course offering for these listings
- Summary
shows courses you have selected to group.
- Course
offering and template have been created.
If you
accidentally add a course to the cross-listing that you did not mean to- How to
Unmap courses:
- Look
in Course Mappings folder/Dept/Semester to find course
- Select
course offering
- Right-click
on course you do not want cross-listed and choose Remove course
- Are
you sure – message box – OK
- Course
is immediately moved from under cross-listing
- Course
goes back to Unmapped Listing
- Select
course and Add button
- Select

under All Listings
To

Roles
& Securities – You can create roles that can only access the sections
they are enrolled in (for staff) or access all sections combined. Talk to Tanya for this information.
Map all
Remaining – in Admin Functions – maps rest of courses left in HT and
creates course offerings
